Schengen Visa Checklist 2026: Every Document You Need

A refusal-proof Schengen visa checklist covers more than the minimum embassy list. This guide walks through every document a consular officer expects, why it matters, and how to prepare it so your file passes on the first submission.

The core Schengen visa checklist

Every Schengen application — whether you're applying through Germany, France, Spain, Italy or any other member state — shares the same foundation. Prepare these first:

  • Passport valid for at least 3 months beyond your planned return, with 2 blank pages and issued within the last 10 years.
  • Biometric photo — 35×45mm, white background, taken within the last 6 months.
  • Travel medical insurance covering a minimum of €30,000 across all Schengen states, with repatriation.
  • Confirmed round-trip flight reservation — a booking with a PNR, not a purchased ticket, is enough at this stage.
  • Accommodation proof for the entire stay — hotel bookings, Airbnb reservations or a notarised invitation letter.
  • Bank statements for the last 3 months, stamped and signed by your bank, showing a stable balance.
  • Employment letter confirming your position, salary and approved leave — or the self-employment equivalent.
  • Cover letter summarising the trip purpose, exact dates and how it will be financed.
  • Completed visa application form, printed and signed.

Additions for tourist visas

Tourist applications live or die on the travel narrative. Add a detailed day-by-day itinerary showing which city you'll be in each night, matched exactly to your flight and hotel reservations. Consular officers routinely refuse files where the itinerary and bookings contradict each other.

Additions for business visas

  • Invitation letter from the host company on official letterhead, with dates and purpose.
  • Employer letter confirming the business trip, expenses and return to your role.
  • Trade licence or company registration if you own the business.
  • Proof of ongoing business relationship — contracts, prior invoices, email threads.

Additions for student visas

  • Admission or enrolment letter from the institution.
  • Proof of tuition payment or scholarship award.
  • Accommodation confirmation from the university or a private landlord.
  • Academic transcripts from your most recent studies.

Additions for family and visitor visas

  • Invitation letter from the host family member, with their address and dates.
  • Copy of the sponsor's passport or residence permit.
  • Sponsor's proof of accommodation (rental contract, property deed or utility bill).
  • Sponsor's last 3 months of bank statements and payslips.
  • Proof of relationship — birth certificate, marriage certificate or family register.

Additions for transit visas

If you're only passing through a Schengen airport, you need the onward flight ticket, a visa (if required) for the final destination, and the standard photo, insurance and application form. Airside transit is only visa-free for specific nationalities — check your country's status before booking.

Documents applicants forget

The five most common gaps we see when reviewing applications: outdated bank statements, insurance that excludes one Schengen state, no signed cover letter, missing parental consent for children, and old passport copies when you've had more than one. Fixing these before your appointment removes the top reasons for delay.
