Schengen Visa Itinerary: How to Build One That Gets Approved

The itinerary is the document consular officers use to sanity-check your entire application. If it's vague, contradicts your bookings, or leaves gaps, the file is weakened before it's even read. This guide shows exactly how to build a Schengen itinerary that stands up to scrutiny.

What a Schengen itinerary must show

A valid Schengen itinerary is a single-page, day-by-day table covering every night of your trip. For each day it should list:

• Date — full calendar date, not just "Day 1".
• City / country — where you'll be that day.
• Accommodation — hotel name and booking reference.
• Planned activities — two or three concrete things you'll do.
• Transport — flight or train reference when moving between cities.

The alignment rule

The single most important test: every night listed in the itinerary must match a booking in your file. If your itinerary says you're in Rome on 14 September but your only Rome hotel booking ends on the 13th, the officer sees a gap and the application weakens. Build the itinerary from your bookings, not the other way round.

A combined itinerary works only if all your bookings, transport connections and entry/exit points line up. Note how the country-of-application rule (main destination = longest stay) picks France here because it holds five nights against Italy's four.

Common itinerary mistakes

• Listing "sightseeing" every day with no specific sites.
• Booked flights arriving on a date the itinerary shows you elsewhere.
• Overlapping hotel bookings in two cities on the same night.
• Missing the transport method between cities — officers assume you have no plan.
• Ending the itinerary before the return flight date.

Do activities need to be booked?

No. Museum entries, day trips and restaurants can be listed as intentions. Only flights and accommodation need actual reservations. That said, if you already hold tickets for a headline event (concert, football match, museum with timed entry), attaching them strengthens the file.
