Schengen Visa Cover Letter: Template + Example

A cover letter is the shortest document in your Schengen file β€” and the most read. It's the first thing a consular officer sees, and it decides how the rest of your application is interpreted. This guide gives you a proven structure, a free template and a full example letter.

Why the cover letter matters

Consular officers review dozens of files a day and spend under a minute on each cover letter. A clear one-page summary lets them tick every box in seconds: who you are, where you're going, when, why and how it's funded. A missing or vague letter forces the officer to reconstruct your story from other documents β€” which is exactly when refusals happen.

The 6-part structure that works

  1. Header β€” your name, address, email, phone and the date.
  2. Salutation β€” "To the Visa Officer, [Embassy/Consulate of Country, City]".
  3. Introduction β€” one sentence naming yourself, nationality, passport number, occupation and the visa you're requesting.
  4. Trip details β€” exact dates, purpose, cities and accommodation, and who is paying.
  5. Documents enclosed β€” a short list so the officer can cross-check.
  6. Return commitment and signature β€” a one-line confirmation you'll return home before the visa expires.

Mistakes that lead to refusal

  • Dates in the letter that don't match your flight or hotel bookings.
  • Claiming a sponsor without enclosing their bank statements and ID.
  • Vague purpose ("to visit Europe") instead of specific cities and reasons.
